The 36-Touch Campaign
Out of sight, out of mind. If you don't stay in touch with your past clients, another agent will list their house in 5 years. You must touch your database 36 times a year to maintain mindshare.
24 Emails (Bi-Weekly)
12 Market Updates (stats, interest rates, trends) and 12 Local Lifestyle emails (top new restaurants, weekend events, home maintenance tips).
4 Phone Calls (Quarterly)
Don't just call to ask for business. Call to check in on their family, wish them a happy birthday, or offer a vendor recommendation (plumber/roofer).
4 Direct Mailers (Quarterly)
Send physical value: A printed CMA for their home, a sports schedule magnet, or a handwritten note for their home anniversary.
4 Client Events (Quarterly)
Host events: Thanksgiving pie giveaway, summer park BBQ, happy hour, or renting out a movie theater for a family screening.
How to Ask for Referrals (Without Being Weird)
The best time to ask for a referral is when the client is at the peak of their emotional high during the transaction.
Opportunity 1: After the Accepted Offer
"I am so excited we got your offer accepted! You guys have been amazing to work with. My goal is to build my business working with great people just like you. While we are going through this escrow process, if you hear of any friends or coworkers talking about real estate, would you mind introducing them to me?"
Opportunity 2: At the Closing Table
"Congratulations on the new home! Before I hand over the keys, I just want to say thank you. I rely heavily on word-of-mouth so I can spend my time serving clients instead of paying for advertising. If you were happy with my service, the biggest compliment you could give me is a 5-star Google review and keeping me in mind if anyone you know needs help buying or selling."
Opportunity 3: The "F.O.R.D." Quarterly Call
Always ask about: Family, Occupation, Recreation, Dreams.
"Hi John, just checking in! How are the kids? ... How is work going? ... By the way, the market has been crazy lately and I'm looking to help 3 more families this month. Who do you know from work or church that might be looking to make a move in the next 6 months?"
The VIP Vendor Network
Give Referrals to Get Referrals
Build a trusted network of local professionals (Plumber, Electrician, CPA, Divorce Attorney, Financial Advisor).
- When a client asks for a recommendation, send them 2 options from your VIP list.
- Call the vendor: "Hey Joe, I just sent a great client your way for a roof repair. Take good care of them!"
- When you feed vendors business, they will organically feed you business when they hear their clients talking about moving.
The Client Appreciation Event
Scaling Your Mindshare
Hosting an annual or semi-annual client event is the highest leverage way to generate mass referrals.
- The Rule of Plus-One: Always encourage past clients to bring a friend or neighbor. This instantly expands your database with warm leads.
- Partner Up: Have your VIP Lender, Title Company, and Home Inspector co-sponsor the event to split the costs.
- Capture Content: Hire a photographer. After the event, send everyone the photos and post them on social media tagging your clients.
